Firstly, Swiftclerk will prompt you to add your Company into the system. Go ahead and click "add record".

 

Add the name of your Business, which will show up on your vouchers.

Next, add your business logo. It is best to us a PNG with no background and the same dimensions for hight and width in order to avoid any stretching of the image.

Next, is your business contact information, everything you add from here on will show directly on your vouchers and in any email you send out, this is very important because these vouchers produce clickable links to your website, map location, and phone number.  

 

Note: Once you add a website, it will prompt you to add an optional "Link Name", this will let the hyperlink show up as "My Company" instead of "www.mycompany.com". If you are using a social media page it's recommended to add your handle as the link name (ie. @lauraslashes).

 

If you prefer to use your Instagram page you can get the link to your page from entering Instagram through web or by clicking the 3 lines on the top right of your Instagram app, clicking "QR code", then the share icon, then copy link. Paste this link into "website" field on Swiftclerk then add your Instagram handle.

 

Once you've added your company, you'll now land on your Dashboard, it's time to start generating your vouchers!

 

Add Department

- Departments are necessary with some businesses which are larger. This lets the app keep track of where and how the voucher was processed. If you only have 1 Department you can add "1" as your Department.

 

Add Station

- Stations are areas within departments (that sometimes have multiple cashiers) where transactions are made and where check-outs are done. If you only have 1 station you can add "1" as your Department.

 

Add Cashier

- Cashiers are the individuals who are specifically processing the transactions. Cashiers belong to a Station, a Station belongs to a Department. If you are the only Cashier you can add any number as your Cashier.

 

Next, you'll see a "Processed Transaction" tab. This is where all your record keeping is saved. Every time a voucher is scanned it will pop up here on this list with all the information you need.

 

Next you have a list of Loyalty Programs.

 

The first tab titled "Loyalty Programs" is where your Coupons, Gift Cards, and Loyal Customer Cards will show once created. In here you can edit or resend these same vouchers whenever you like.

 

Choose an option you'd like to begin generating.

 

In "Digital Coupon" you will start by adding the discount amount then selecting if it is in dollars or percentage. Next is the "Minimum Purchase Value" which means a client must spend this much in order to redeem the discount. If the transaction is less than this amount, the QR code will not be processed and the transaction will be rejected. 

 

If you leave this feild empty, there will be no minimum purchase limitation.

 

You will then input the "Maximum Number of Uses". This means that this coupon campaign can only be processed up until the number you set, meaning if you set the number to 100 and 150 customers get the Coupon, only the first hundred scanned will redeem the discount and the campaign becomes no longer valid once 100 have been scanned. The coupon itself will show the limit change in real time.

 

If you leave this field empty, there will be no maximum number of uses.

 

Reference # is for your own purposes and will not show on any voucher. Use this as you please to keep a record or leave empty.

 

Next, your coupon has a start date which you can chose yourself to make the coupon valid. This automatically starts with current date but can be changed to your liking. As for the expiration this can be left empty to keep the coupon limitless however the benefit of an expiry time is to prompt clients to come in on specific days or hours and boost sales!

 

Next add the email you want to send these coupons to. This can be left empty and instead, once you save the coupon you can then go back to the "Loyalty Programs" tab, click the coupon you just created and copy the social media link to add to your Instagram page story! This feature is only provided with coupons as Gift Cards and Loyal Customer Cards are meant to be emailed individually.

 

Next is the "Description" area. Here you can explain the details of you voucher and its purposes. This will show clearly on the middle area of your Coupons. After that is the "Limitations" tab which allows you to note the limited offer details of your coupon campaign, whether it's limited to weekdays, or on specific items. This will show at the bottom of your coupon.

 

Lastly you have;

 

Save: To save your progress under "Loyalty Programs" for editing at a later time, or to keep the voucher saved before you decide to send it out.

 

Save and Send: This allows you to instantly send out the voucher to the emails you've added and to also keep an edit-able version in your "Loyalty Programs" tab.

 

When you return to your Dashboard, the final tabs are "My Company" which allows you to edit your company information and Logo.

 

After sending your vouchers, and a client comes in to claim their discount, simply scan the QR code right off of their phone with your phone. You'll be prompted to fill in the Cashier & Station number as well as the total (before discount). Once you submit, the new total is calculated and presented for you to bill!
